Creating an Appointment Scheduler in Moodle

The Scheduler helps you to schedule one-on-one appointments with all your students. You specify the periods during which you are available to see the students and the length of each appointment. The students then book themselves into one of the available time slots. The module also lets you record the attendance and grade the appointment.

  1. From your main Moodle page, turn editing on.
  2. In the location where a scheduler is wanted, choose Scheduler from the Add an Activity drop down menu.


  3. A new window will appear with several options available. Choose a name for the scedule, a description, and your role name.


  4. Further down the page are more options for the activity. When done, select Save and return to course or Save and display.
  5. Click the Add Slots (or Add Single Slot) button to add times you want to be made available.

Parameters:

  • Starting and ending dates, days of the week, start and end timesTip: Create your slots in batches based on the same parameters (e.g. location, duration, # of students, etc.).
  • Default slot duration.
  • Location information (default: blank)
  • Number of students per slot (default: 1)
  • Reuse this slot (default: Yes)
  • Set automatic email reminders to students (default: None)
  • You can always add or delete slots later on. You can also modify these parameters for each slot once they are created.

Managing Slots:
Once you have created slots in your scheduler you can modify slot parameters or begin scheduling students and/or groups to your slots.

  • Action icons:

    (From left to right)
    -Delete slot
    -Edit slot
    -Toggle individual/unlimited students per slot (slot defined to have a set number of students greater than 1 will show this number in the action column) 
    -Toggle volitile on/off


2011 - 12 Academic Year and Earlier (Moodle 1.9)

  1. In your moodle course, turn editing on.

  2. In the location you want to add a scheduler, choose Scheduler from the Add an Activity menu.


  3. A new scheduler window appears with several options.
    • Name the Scheduler name (optional: named "Scheduler" by default)
    • Enter your name for the Role name of attendant


  4. Click the Add Slots (or Add Single Slot) button to add times you want to be made available.
    Parameters:
    • Starting and ending dates, days of the week, start and end times
    • Default slot duration.
    • Location information (default: blank)
    • Number of students per slot (default: 1)
    • Reuse this slot (default: Yes)
    • Set automatic email reminders to students (default: None)
    You can always add or delete slots later on. You can also modify these parameters for each slot once they are created.
    Tip: Create your slots in batches based on the same parameters (e.g. location, duration, # of students, etc.).

  5. Managing Slots:
    • Once you have created slots in your scheduler you can modify slot parameters or begin scheduling students and/or groups to your slots.
    • Action icons:
      = delete slot
      = edit slot
      = toggle individual/unlimited students per slot
      Slot defined to have a set number of students greater than 1 will show this number in the action column 
      = toggle volitile on/off
